Every workday starts with an arrival. For thousands of employees, that arrival includes finding a space and confirming attendance for the day. Traditionally, check-in has required some form of action — tapping a button or scanning a QR code.
Not anymore. With Ronspot’s Wi-Fi check-in, employees are automatically checked into their bookings the moment they connect to the organisation’s secure Wi-Fi network. It’s fast, seamless, and built for the modern workplace.
What is Wi-Fi check-in?
Wi-Fi check-in is an automated way to track attendance by detecting when employees connect to the company’s secure Wi-Fi network. Rather than depending on manual check-ins, badges, or app interactions, the system uses authenticated Wi-Fi connections to confirm that someone is on site. This reduces errors, prevents false check-ins, and ensures consistent attendance records. It also gives businesses an accurate, real-time view of workplace occupancy and provides a seamless, effortless experience for employees.

Why Wi-Fi check-in works reliability in corporate settings
Ronspot offers two different ways to configure Wi-Fi check-in:
1.Using Wi-Fi network names (SSID)
- This is the simplest configuration method.
- The SSID is the network name that appears when your device scans for available Wi-Fi networks (e.g., Ronspot-WiFi-5G).
2. Using wireless access point identifiers (BSSID)
- This is the most accurate option, especially in large buildings where multiple areas share the same Wi-Fi network. It ensures employees can only check in when connected to the correct part of the building.
- The BSSID is the unique identifier of a specific router or access point (e.g., a MAC address such as 34:22:64:11:AC:9F).
This ensures:
Easy mapping for administrators
Ronspot’s admin portal makes it simple for administrators to associate each workspace zone with one or more SSIDs or BSSIDs.
- Flexible zone configuration: Admins can assign a single or multiple SSIDs or BSSIDs to a zone, making it easy to support environments with several access points or overlapping Wi-Fi coverage.
- Automatic check-in accuracy: Once an employee connects to any of the mapped SSIDs or BSSIDs, Ronspot automatically validates the connection and checks in their booking for the corresponding zone. This removes manual steps, reduces missed check-ins, and provides a seamless user experience.
- Ideal for dynamic workplaces: Whether an organisation has a single floor or multiple building sections, admins can create a precise and reliable Wi-Fi mapping structure that matches the office layout.
Multiple check-in methods
Ronspot offers a range of check-in methods, which can be enabled individually or used together:
- Wi-Fi check-in: Automatically checks in employees when they connect to an approved Wi-Fi network.
- Access control check-in: Through Ronspot’s integrations with leading access control systems, employees are automatically checked in when they swipe their badge or when their vehicle license plate is read.
- QR code check-in: Employees scan a QR code located in the workspace or room.
- Manual check-in: Users can check in directly from the app with a simple tap.
By combining these options, organisations can design a check-in process that best fits their operational needs—while also providing alternative methods for employees who may not be using the Ronspot mobile app.
Fully integrated with attendance tracking and reporting
Every Wi-Fi check-in is:
- Logged
- Time-stamped
- Labelled as a Wi-Fi event
- Linked to the corresponding booking
This ensures accurate reporting across:
- Check-in/out reports
- Occupancy dashboards
- Booking logs
- Resource usage insights
It’s effortless for employees — but powerful for workplace administrators.
