This feature allows you to cap the number of timeslots a user can reserve for each space per day. It’s especially useful for EV spaces to ensure fair turnover. You can use this in combination with our “Restrict Users to One Booking per Day in Grouped Zones” feature.

After introducing this functionality to the admin panel in August 2024, we are now extending it to the web app for consistency. With this update, you can easily generate keypad codes directly from the web app when booking for guests. This feature, which requires ACT365 integration, enhances both security and convenience for guest access.

The option to lift space restrictions was originally designed for all-day spaces. To enhance flexibility and ensure uniformity, we’re expanding this functionality to include hourly spaces, providing a more consistent experience across all space types.

Manage your workspace seamlessly in your preferred language. The admin panel now supports Dutch, Polish, and Czech, expanding accessibility for global teams.

With this latest update, employees can seamlessly request the deletion of their Ronspot account, ensuring greater autonomy and transparency. Upon submission, administrators are promptly notified via email and tasked with confirming the deletion, safeguarding against accidental removals. This robust confirmation process underscores Ronspot’s commitment to data protection.

We’re introducing a new ‘Privacy’ tab in the Zone settings to give you greater control over employee visibility within the app. This feature allows you to customise how employee names are displayed, and enable or restrict users from viewing colleague bookings in zones they don’t have access to.

This feature enables automatic assignment of users to groups by mapping SAML properties from your identity provider to corresponding groups in Ronspot and categorising users into their respective groups upon joining the platform. The Email Template section has been restructured, introducing features like automatic translation of default templates, prepopulated templates, and multi-zone selection. These improvements make it easier to customise and manage email communications.

This feature allows admin users to select a ‘From’ and ‘To’ date range in the Meetings view, making it easier to filter and view meetings within a specific timeframe. It improves the user experience by enabling more precise scheduling and tracking.

Enhanced the speed and responsiveness of the calendar and map views, ensuring faster load times and a smoother user experience. This optimisation significantly reduces lag for large zones, allowing users to navigate and interact with these views more efficiently.

This feature allows administrators to restrict users to making only one booking per day within specific grouped zones. It helps streamline resource allocation and avoid overbooking in clustered areas.

Analyse booking trends more effectively with a new ‘Day’ column and filter in the Booking Demand report. This feature enables you to filter by weekday and view occupancy levels for specific days of the week.

Improved tag filtering logic to use a logical AND, allowing users to narrow down search results more effectively by combining multiple tags. This change provides more precise control over search criteria, helping users find exactly what they need with greater accuracy.

Our enhancements to the Visitor Management module simplify your workflow by automatically alerting hosts when visitors check in. A ‘Search by Guests’ option in the ‘Bookings’ tab has also been added, enabling you to view all guest reservations in one location. Plus, guest check-ins are now included in the Check-In report for thorough tracking.

Introducing the ability to generate visitor access codes for ACT365 keypads directly within Ronspot, simplifying visitor management. This integration streamlines the process of granting temporary access, ensuring secure and efficient entry for visitors.

Introducing an improved calendar interface for employees holding queue privileges. A new green icon showing employees they can join the waitlist on the calendar designates days without available spaces, signaling opportunities for employees to join the queue. Additionally, a similar red icon showing employees they are in the queue serves as confirmation for employees who are already in the queue, allowing them to easily monitor their queue status and elevating the overall efficiency of queue management.

As part of our effort to standardise features across all zone types, we are revamping the Queue/Waiting List functionality to seamlessly integrate with zones featuring maps. Now, employees can join a queue in map-enabled zones when all spaces are taken. This feature ensures that as spaces become available, employees will move up the queue until reaching the top position, ensuring automatic space assignment.

A “Notes” column has been introduced in the Meetings section of the admin panel. This allows admin users to quickly access and view notes associated with each meeting for easier reference.

Organisers can now check in to their meetings directly from the web platform. This helps confirm attendance, improves space usage tracking, and keeps meeting records up to date.

Categorise users automatically into their respective groups upon joining the platform by synchronising the Department or City property set on Microsoft Entra with corresponding groups in Ronspot. This ensures efficient organisation and access control aligned with your company’s existing structures.

We’ve added the ability for users to easily schedule recurring meetings biweekly. Whether they need to set up regular team check-ins, client meetings, or project updates, this new option offers greater flexibility to meet their specific needs. Launched on the web in November 2023.

Automatically sync the properties set in Okta SSO with corresponding groups in Ronspot to categorise users into the appropriate groups when they join the platform. This ensures efficient organisation and access control, perfectly aligning with your company’s existing structure.

Streamlined the company registration process with a simplified form, featuring preselected options, dynamic error messages for email and password validation, and the removal of the username field. These improvements enhance the user experience by reducing obstacles during registration.

Now, administrators can swiftly configure new spaces directly from the map using our intuitive setup popup. Choose space types, define booking windows in days, and specify booking periods—daily or hourly—all in one convenient interface. Ronspot’s new auto-release feature automatically frees up Meeting Rooms when the organiser has failed to check in, maximising efficiency and ensuring optimal utilisation of your workspace. To enhance user experience during peak demand periods, we are now preventing multiple booking attempts from both the calendar and map interfaces. The user interface has also been upgraded to provide clearer, more informative status updates. Users will now be able to see that their booking request is still in the processing queue, enhancing transparency.

This latest addition seamlessly synchronises barrier entry and exit logs from ACT365 with Ronspot, automating the check-in and check-out process. Administrators can now effortlessly monitor unused bookings, optimising resource allocation for a smoother and more efficient operational experience for everyone.

Administrators can now effortlessly create QR codes in bulk for each selected zone, simplifying the check-in procedure for employees and visitors alike. Upon request, an email containing a PDF file with all the generated QR codes is promptly dispatched to the administrator, ensuring convenience and saving valuable time. After introducing 3, 4, and 5-hour timeslots in June 2023, we’re expanding our range to include longer options of 6, 7, 8, 9 and 10-hour timeslots, catering to customers requiring extended shift coverage. Accessible under: Parking Spaces / Desks > Edit > Booking Slot.

To simplify zone configuration, we’ve divided the “Bookings” tab into two separate tabs. The “Credits” tab consolidates all credit system controls, including a convenient one-click toggle for enabling or disabling the credit system. Likewise, advanced controls have been relocated to the “Advanced” tab to enhance clarity.

For Italian-speaking workspace administrators, managing your workspace just got easier. Ronspot’s Admin Panel is now available in Italian, offering an intuitive interface tailored to your language preferences.

Each vehicle can now be categorised based on size, ranging from motorbike to minibus, and on the fuel type of their vehicles, including options like petrol, diesel, EV/Hybrid, LPG, hydrogen, and self-charging hybrid. Additionally, users can define additional attributes such as accessibility, company car status, or car sharing, adding further flexibility to parking configurations.

Our Past Booking report now spans a comprehensive 180-day period, aligning seamlessly with our suite of reports. This enhanced reporting functionality offers administrators a more expansive perspective on booking history.

The “Meetings” tab now offers administrators the ability to delve into the past. With this new feature, administrators can effortlessly select previous dates and unlock a comprehensive history of meetings. Gain valuable insights, track progress, and streamline planning by accessing a detailed record of past meetings directly from the admin panel.

We are excited to announce the complete redesign of the employee login and registration page, featuring a modern design and improved user experience.

Admins can now configure authentication methods directly from the admin panel, eliminating the need for Ronspot team intervention. Additionally, our updated employee login page exclusively displays the domain-specific authentication methods, providing companies the ability to enforce Single Sign-On and simplifying user access to their accounts.

After successfully integrating ACT365 with Ronspot in April 2023, we’re now implementing an update to ensure seamless relay of all visitor bookings to ACT365, optimising barrier operations for enhanced functionality.

Administrators now have the flexibility to ask up to five questions after a booking is made, an upgrade from the previous limit of one. Whether it’s specific requirements, preferences, or additional details, administrators can now fine-tune their post-booking inquiries to better meet the unique needs of their organisation.

We are removing any unnecessary calculations to significantly enhance app speed, particularly during peak hours, and elevate the user experience even further. Moving forward, the default calendar view will be limited to the current week. Rest assured, users will still be able to check availability beyond these dates with a simple tap of the refresh icon on the corresponding week.

Ronspot now empowers administrators to create meetings directly from the admin panel dashboard. This streamlined feature enables them to initiate and manage meetings seamlessly, optimising efficiency in the organisational workflow.

Administrators can now effortlessly reorder zones by simply dragging and dropping them into the desired order. This intuitive functionality allows for a seamless adjustment of zone priorities, ensuring a more efficient and organised workspace. The updated zone order will be instantly reflected in the employee web app (mobile app update coming soon).

This new update introduces a significant improvement in space conversion from daily to hourly bookings, offering administrators enhanced flexibility. Administrators now have the ability to select the start time, end time, and timeslot duration of each space before converting it to hourly, making the conversion process much quicker.

Empower team leaders with the ability to effortlessly view their entire team’s location on a map in one click. This feature allows team leaders to select an entire team and highlight all their bookings on the map. We’re working on bringing this new feature to the mobile app, and it will be available shortly.

We are thrilled to announce an update to the default sample maps when creating a new company account for a more intuitive and enjoyable journey with Ronspot. This improvement aims to provide companies with a more aesthetically pleasing and user-friendly visualisation of a sample car park and office space.

Following the translation of Ronspot’s admin panel interface into French and German last November, we are thrilled to announce the addition of the Spanish language. This enhancement is aimed at further improving the user experience for our Spanish-speaking customers.

Admin users can now make any meeting rooms subject to approval. They can also assign one or multiple individuals as approvers for each meeting room. After a meeting request is submitted, the designated approver(s) will promptly receive an email containing options to either accept or deny the request.

By simply hovering over a meeting room on the map, employees can view the list of meetings and the name of their organiser for the selected room. This enhancement not only streamlines communication and coordination but also fosters a more transparent and informed workplace environment, enabling employees to quickly identify meetings and their organisers.

Administrators can now set an internal support email address. Now, all support requests initiated by your employees can be seamlessly redirected internally, ensuring efficient and centralised handling, directly within your organisation, rather than through Ronspot.

With our latest enhancement, employees now have the flexibility to choose multiple consecutive timeslots when booking an hourly space. No longer constrained to separate bookings, employees can effortlessly reserve both morning and afternoon shifts in a single booking.

Companies can now exclude days off from the booking window calculation, ensuring a consistent number of days available for advance booking. This adjustment prevents the release of new available days on days off and public holidays, respecting the employees’ right to disconnect. We are excited to announce the redesign of the Okta login page for employees, featuring a modern design and improved user experience. We are actively working on revamping the other login pages, and they will be available shortly.

We’ve updated the web app to match the mobile app by reordering the ‘Go to map’ and ‘Get random space’ buttons. The button designs have also been refreshed, ensuring a consistent and modern look across all platforms.
