Workspace management can be complex, but Ronspot makes it simple. Your company can upload an office plan for each floor and add each meeting room to the map. Employees can then select a floor, view an interactive map, and book a meeting room directly from it.
If your company also uses Ronspot to manage desks and/or parking spaces, you can view other employees’ bookings directly on the map. Alternatively, you can use the “Search bookings” option in the app menu to look for a colleague’s name and see which days they have booked a meeting room
By default, meetings can be booked up to 365 days in advance. This booking window can be customised by administrators for specific meeting rooms or employee groups, allowing different priority levels.
When scheduling a meeting, you’ll see a grid of available time slots for the selected day. Simply choose a slot and adjust the start and end times as needed. The system operates in 30-minute increments.
Yes. Ronspot allows administrators to configure detailed booking rules for each meeting room, including:
- Available booking window: Define how far in advance rooms can be booked (up to 365 days)
- Booking duration limits: Restrict the number of consecutive time slots per booking
- User restrictions: Specify which employees or groups can book certain rooms
- Priority release timing: Open bookings to all users after a defined time (e.g. 18:00 the day before)
- Approval workflows: Require meeting requests to be approved via email before confirmation
Yes. Ronspot integrates seamlessly with Microsoft 365 via Microsoft Graph. Meetings created or updated in Outlook or Microsoft Teams are automatically synced with Ronspot, and vice versa. This includes future meetings created before implementation. The system also prevents double bookings by rejecting conflicting reservations.
Yes, Ronspot offers two options:
- Android tablet app: A dedicated app that displays room status at a glance (green = available, red = in use), shows upcoming bookings, and allows direct booking from the tablet
- ROOMZ integration: Wireless tablet displays with long battery life (up to 4 years). These screens show the room’s daily schedule and allow quick reservations via a simple interface
Yes. Ronspot includes a check-in feature using QR codes. Organisers can receive automatic reminders (e.g. at the start time or shortly after), and meetings can be automatically cancelled if no check-in occurs.
For a more automated approach, Ronspot also integrates with occupancy sensors to detect room usage independently of bookings.
