With employees returning to the office post-covid, the Sustainable Energy Authority of Ireland were tasked with managing the safe return to the office. The challenge was finding a solution that would monitor who has entered the office, allow employees to pre-book desks, and to ensure social distancing was maintained.
For SEAI, they needed to not only manage the return of employees to one, but four office locations. Moreover, the system they used had to be universal to all offices. SEAI also had to ensure that employees were able to book their desk in advance of attending the office to avoid double bookings and possible social distancing hazards.
According to Ely Siegel, IT Change Manager, “Ronspot met all of (SEAI’s) needs for a desk booking system.”
The solution was easily and quickly setup across all four of the SEAI locations, including Dublin, Sligo, Cork, and Dundalk. SEAI simply got setup and were able to use Ronspot to manage their desks. For the time post-covid, social distancing was enabled to ensure employees were safe onsite. Whereas now, these rules are removed, ensuring the occupancy is at a maximum where possible.
The solution was setup and employees received training in a very short time frame too, allowing the organisation to bring employees back to the office quicker. Moreover, employees were provided with the training and user documentation to understand the Ronspot app immediately.
Ely also mentioned the importance of “space management in our multiple office spaces, while also being able to use analytics to see where and what days people were entering the office”. The solution itself became very adaptable for the SEAI’s needs.
